Document Storage

The first step in a document typing, document scanning and/or document storage project is preparing the documents. All categories follow the same protocol, which begins when all pages of the document receive an identification label, which will be responsible for maintaining security when handling the document.
When preparing documents, it is necessary to remove from the paper any attachments such as clips, staples, labels, adhesive tape or any object that could obstruct the document, directly affecting the document scanning and document storage process.
Still in the document preparation process, the sheets are ordered according to the customer's request, they will be grouped into batches with varying quantities in order to facilitate document identification. Soon after, a cover is generated, that is, a sheet with the customer's identification. This batch cover helps when creating dossiers (multi-page PDF) making it easier to understand.
To complete the document preparation process, batches of documents are stored in a box, which will receive an ID that connects the batches and documents contained in the box. Our system is fed with all IDs generated during the document preparation process, Customer ID, Batch ID and Document ID. This way we can proceed to the next steps of the process, be it document typing, document scanning or document storage.
